Privacy Policy

We collect only the information needed to provide our training services:

• Contact details — your name, email address, phone number, and home address, provided through our new client inquiry form or by your trainer.
• Dog information— your dog's name, breed, age, weight, behavior and training history, care routine, and health records you choose to share, including vaccination documents you upload.
• Service records— appointments, training session notes, invoices, payments, and signed service agreements (including the name you type as a signature, the date, and technical details of the signing such as IP address, kept as proof of signature). Session notes may include information you share with your trainer that is relevant to training, such as changes in your dog's health or your own ability to participate in sessions.
• Photos and videos — profile photos of you and your dog kept with your client records, and photos or videos taken during lessons or consultations as described in the Publication section of the Service Agreement you sign.
• Sign-in information — if you sign in with an email code, your email address; if you sign in with Google, the name, email address, and profile picture Google shares with us. We use this only to sign you in.
• Technical data — basic logs such as IP addresses, used for security, rate limiting, and error monitoring.

Payments are processed by Stripe. Your card number goes directly to Stripe and is never stored on our systems; we keep only the payment confirmation and amount.

• Scheduling and delivering dog training services
• Sending invoices, payment links, appointment invitations, and service-related emails
• Maintaining training records and progress notes for your dog
• Tracking vaccination compliance for the safety of dogs and people in our programs
• Managing service agreements
• Securing the portal and preventing abuse

We do not use your information for third-party advertising, and we never sell it.

As part of our training process, you and your dog may be photographed or recorded during lessons or consultations. Under the Publication section of the Service Agreement our clients sign, 4QK9 may use those photos and videos — including likeness, voice, written communications, and your and your dog's names — on our website, social media, and other promotional or training materials.

If you have concerns about a specific photo or video, or would like something taken down, contact us at aubry@4qk9.com and we will work with you.

When you upload a vaccination document, we may use an AI service (Anthropic) to read the document and extract vaccine names and dates so you don't have to type them. The document is used only for this purpose. You can always review and correct the extracted information before it is saved.

We use a small number of trusted providers to run the portal. Each receives only what it needs to do its job:

• Supabase — database, authentication, and file storage
• Vercel — website hosting
• Stripe — payment processing
• Resend — sending email
• Google — optional Google sign-in, address autocomplete, and distance calculation
• Anthropic — vaccination document analysis
• Sentry — error monitoring

Beyond these providers, we share information only if required by law or to protect the safety of people or animals.

If you choose to sign in with Google, we receive your name, email address, and profile picture from your Google account. We use this information solely to create and secure your portal account and to match you to your client record. We do not share Google user data with third parties or use it for advertising.

The portal uses cookies only to keep you signed in. We do not use advertising or cross-site tracking cookies.

We keep client and service records for as long as you are a client and afterwards as needed for legal, tax, and record-keeping purposes. Signed service agreements are retained as legal records of the agreement.

You may ask us at any time to see the information we hold about you, correct something that is wrong, or delete information we are not required to keep. Email us at aubry@4qk9.com and we will respond promptly.

Our services and the client portal are intended for adults. We do not knowingly collect personal information from children under 13.

If we make material changes to this policy, we will update this page and the effective date above.
